Role: Personal Assistant to Chief Officer

Department: Senior Command Team

Location:  Carbrook – Force HQ, Sheffield

Salary: Band D (£26,016 - £29,793)

Hours: 37 hours per week

Contract Type: Permanent

Role Purpose:

You will provide a comprehensive Personal Assistant service to the Chief Officer.

Key Responsibilities:

Using your initiative, you will make appropriate decisions to manage their time, ensuring that their availability and efficiency are maximised. You will therefore possess proficient administrative and customer service skills and will recognise the need for confidentiality and discretion in your work.

Using an electronic diary management system you will help organise and plan their schedule, including all bookings, appointment and travel arrangements (ensuring value for money). You will manage incoming post and emails, prioritising and actioning them accordingly.

You will make and receive calls on behalf of a Chief Officer, relaying messages as appropriate, responding to all enquiries from internal and external parties with sensitivity and discretion. You will receive and greet visitors with courtesy, arranging hospitality when required.

You will utilise and develop effective and efficient paper-based and electronic filing processes and procedures, keep records up-to-date and ensure that archived material is safe and retrievable. In advance of meetings, you will prepare and circulate material to attendees, and will attend and minute strategic level meetings.

You will develop a good understanding of the Chief Officer’s portfolio in order to provide an efficient support service to them, working on your own initiative to deal with incoming calls, emails and documentation, drafting responses, as appropriate.

You will work collaboratively with other PAs in the department to ensure that resources are used flexibly to meet the demand and that an effective service is maintained and delivered to the Senior Command Team.  Attendance at some meetings/events may require travel and/or an overnight stay. All other duties will be commensurate with the position.

To be considered the following are essential:

  • Significant, current experience as a Secretary/Personal Assistant.
  • A secretarial qualification
  • RSA Stage II (or equivalent)
  • Experience of minute taking, at a strategic level.
  • Experience of managing busy diaries and conflicting appointments, with the ability to prioritise appropriately.
  • Computer literate with knowledge of MS Word, Excel and PowerPoint.

Eligibility:

Applicants must meet the minimum requirement checkable history criteria, which must be taken into account for individuals applying to work with South Yorkshire Police in any capacity.  A minimum checkable history of 5 years is required for this role and successfully undergoing recruitment vetting procedure is a pre-requisite of employment with South Yorkshire Police.

All tattoos and piercings must be in line with South Yorkshire Police’s Appearance and Standards policy.  Tattoos visible on your face, neck, hands or head are not permitted.  Any tattoos which could be deemed inappropriate or cause offence will also not be accepted.  If you have tattoos, you will need to make a declaration at the time of application.
