Role: Complaints and Investigations Admin Support Assistants

Salary: Band B (£19,452 – £21,135)

Hours: 37 hours per week

Role Purpose:

To provide administrative support to the Complaints & Investigations Team, to include typing, business support functions, secretarial and intercom/reception cover.  To record, monitor and finalise complaints, conduct and misc. cases using the Centurion database. To process all correspondence to the dept and decide appropriate course of action, deal with enquiries from members of the public and both internal/external stakeholders/agencies.

Recent administrative experience and proven Microsoft Office/computer skills and use of systems/applications are essential, experience of using databases is desirable. Must have the ability to work in a small team, under pressure and to tight deadlines. Willingness to undertake all training appropriate to the role. 

The role entails dealing with sensitive information and strict confidentiality must be observed at all times. 

Knowledge of the Centurion database and the police complaint/misconduct process, is desirable but not essential.

Key Responsibilities:

  • To work as part of the Complaints and Investigations team, providing overall administrative support (to include general typing, photocopying, collection/distribution of mail etc).
  • Record, monitor and finalise complaints, conduct matters and miscellaneous complaints using the Centurion database.
  • Checking received correspondence and deciding the appropriate course of action required.
  • To carry out all business support functions for PSD, (to include ordering/finance responsibilities, co-ordinating travel/hotel arrangements.)
  • To monitor and operate the intercom system for the access/egress to the PSD compound/building.
  • Provide secretarial support to the head of PSD, (to include electronic diary & meeting management. Production of agendas, minutes, reports & letters.  Update of GRS for the management team.
  • Deal with enquiries from members of the public, and both internal/external stakeholders/agencies (e.g. IPCC, CPS, Solicitors).
  • Maintain case filing system and departmental tape library
  • Collate information from computerised system/manual records and produce summarised reports/letters.
  • Provide resilience in terms of admin support for other units/functions of PSD (e.g. OSU, Crime and Corruption).
  • Where appropriate skills and training provided, produce full transcripts, ROTI/ROVIs in accordance with Force requirements, to include security of recorded interviews and maintenance of appropriate monitoring and filing systems.
  • Any other duties commensurate with the grade.

Eligibility:

Applicants must meet the minimum requirement checkable history criteria, which must be taken into account for individuals applying to work with South Yorkshire Police in any capacity.  A minimum checkable history of 5 years is required for this role and successfully undergoing recruitment vetting procedure is a pre-requisite of employment with South Yorkshire Police.
