Contract Type: Permanent (several roles) and one fixed term to cover maternity leave

*Please note that there are a number of shift pattern arrangements for this role:

  • 1 x full time permanent days/afternoons File Preparation Officer post based at Shepcote Lane.
  • 2 x full time permanent days only (Mon-Fri) File Preparation Officer posts based at Snig Hill.
  • 1 x maternity cover – days/afternoons/nights File Preparation Officer post based at Shepcote Lane.
  • (anticipated) 1 x full-time fixed term days/afternoons File Preparation Officer post based at Shepcote Lane.

Join our team of dynamic Police Staff Case builders whose role is to receive case material from operational officers and build cases to the highest standard as they progress though the criminal justice system, ensuring a victim focused approach and a right first time ethos.

You will support the file preparation process to achieve the objectives of ensuring cases are progressed through the court systems effectively.

Role Purpose:

Supporting the file preparation process to achieve the objectives of ensuring cases are progressed through the Pre-Charge Advice Process and the court systems according to the standards agreed in the South Yorkshire Effective Trial Management Framework, the SYP Charging model, Victims’ Code of Practice and the National File Standard. 

Key responsibilities include:

  • The preparation of either way, indictable only and allocated case files for Crown and Magistrates Courts in accordance with the manual of guidance and National File standards.
  • Ensuring quality and timeliness of completed files.
  • Liaising with internal/external agencies.
  • Assisting operational officers and Police staff with enquiries/problems in relation to file preparation matters.
  • Interrogating/Inputting/Retrieving various computer packages.
  • Any other duties commensurate with the grade of the post.
  • Job rotation within the banding is paramount in order to meet deadlines.

Skills and experience:

Essential Criteria:

  • Show evidence of effective quality control in relation to work output.
  • Ability to identify mistakes and errors, and summarise information.
  • Ability to grasp legal principles.
  • Flexibility to work overtime or at other locations, Saturday and Bank Holidays if required, to meet organisational needs.

Desirable Criteria:

  • Relevant legal qualification
  • Experience in Criminal Justice administration.
  • Knowledge of manual of guidance, Disclosure and Points to Prove.

Eligibility:

Applicants must meet the minimum requirement checkable history criteria, which must be taken into account for individuals applying to work with South Yorkshire Police in any capacity. A minimum checkable history of 5 years is required for this role and successfully undergoing recruitment vetting procedure is a pre-requisite of employment with South Yorkshire Police.
