We are currently recruiting for a Disclosure Administration Assistant within our Legal Services Unit which supports both Humberside and South Yorkshire Police. This role will be permanently based at either Priory Rd, Hull HQ or Carbrook, South Yorkshire HQ.

This role requires the post holder to provide comprehensive clerical and administrative support, including being the initial point of contact for daily enquiries and managing the team’s diary.

Key Responsibilities:

  • Organises meetings, provides support services and subsequent action as necessary, including agenda preparation, collation of supporting papers, taking, and producing minutes where necessary including from audio recordings.
  • Monitors, directs, and answers queries via telephone and in person within pre-determined guidelines, directing where appropriate matters to more senior colleagues within the unit.
  • Monitors and maintains the Legal and Disclosure SPOC email box – records, re directs and allocates work, deciding on the priority level and skill sets.
  • Provides a comprehensive range of secretarial/clerical services to the Legal Services Unit including shorthand, word processing, audio and copy typing, filing, photocopying, document collation and distribution, routine statistical work, provision of refreshments, room bookings, as well as making routine telephone enquiries.
  • Preparation of specialised documentation such as Court and Tribunal pleadings, Court bundles and Instructions to Counsel.
  • Undertakes research/fact finding relating to tasks specified by staff within the unit.

Skills and experience:

  • Educated to GCSE standard or equivalent.
  • Literate and numerate.
  • Clerical experience incorporating the use of computers spreadsheets/databases, word processing/typing.
  • General administration experience including filing, record keeping, processing telephone calls etc.
  • Experience of audio typing and computer input/retrieval. Well-developed written and oral communication skills.
  • Demonstrates the ability to complete tasks accurately within specified deadlines.
  • Willingness to learn and undertake a variety of tasks.
